Service of process is the formal step of delivering legal papers to the party being sued. It is what turns a complaint someone has written into a case your company is legally required to answer.
It matters more than it sounds because of what it starts. Once service is complete, you have a limited window to respond, often twenty or thirty days depending on the court. Miss the window and the other side can ask for a default judgment, which is a decision in their favor made without hearing yours.
Why the registered agent exists for exactly this
A company cannot be handed papers personally, so states require a named agent at a known address who can accept them. That is the whole reason the role is mandatory: it guarantees a plaintiff somewhere to serve, and it guarantees you a place the papers will arrive.

- A copy sent immediately, not batched with routine mail
- The date of receipt recorded, since that date is what the deadline is counted from
